Data Retention & Deletion Policy
How long live records, logs, exports, backups and deletion evidence may be retained.

1. Active accounts
Business data is retained while the account is active and as needed to provide the service, support recovery, prevent fraud and meet legal or contractual obligations.
2. Expired or cancelled accounts
After expiry or cancellation, data remains in the account according to the access state and is not automatically deleted solely because the subscription ended. Customers should download Excel exports and restorable backups before requesting verified permanent deletion.
3. Reset and deletion
Reset removes selected business records while preserving the company, users, subscription and required audit history. Permanent deletion is restricted, requires verification, and may retain a minimal deletion record without operational business data.
4. Backups
Deleted or changed information may remain in protected backup copies until the published backup-set or deletion-backup retention period expires. Backup copies are not routinely edited record by record.
5. Security and audit logs
Monitoring snapshots, task history, slow-query files and local audit files follow the current technical schedule below. Login, billing, consent, support, administrative and incident records may be kept longer where necessary to prevent abuse, investigate incidents, resolve disputes, administer the contract or comply with law.
6. Export files
Temporary Excel and CSV export files are generated for download and should be automatically removed after delivery or short-lived cleanup. Customers are responsible for securing downloaded copies.
7. Current technical retention schedule
Temporary company exports are scheduled for deletion after 24 hours. Production database backups retain up to 30 recent sets, company-level backups retain up to 10 sets, and a final backup created for permanent company deletion is retained for 30 days before purge. System health snapshots and scheduled-task history are retained for 90 days; slow-query records for 30 days; audit files for 90 days; expired or revoked API reliability records for 30 days, and completed customer-activation reminder delivery logs for 180 days under the current defaults.
8. Records without a fixed automatic deletion window
Business records, subscription and payment evidence, support tickets, consent records, policy acceptance history, administrative audit records and security investigations may be retained for the account lifecycle and longer where required for contract administration, fraud prevention, disputes, legal obligations or a documented legal hold. They are removed through the verified reset, export, closure and permanent-deletion workflows rather than an unreviewed time-based purge.
9. Marketing attribution records
First-party signup and campaign-attribution records may be retained for service analysis during the account lifecycle. Technical identifiers are stored as hashes where implemented. They are not sold as customer business data and may be removed through verified company deletion or a later documented retention update.
